Warehouse Rules & Access Policy

This Warehouse Rules & Access Policy (Policy) forms part of the COMCA Master Terms & Conditions and applies to all items stored, processed, or handled within the COMCA warehouse. By submitting items to COMCA, you agree to comply with this Policy.
1. Definitions
Terms defined in the COMCA Master Terms & Conditions have the same meaning in this Policy.
“Warehouse” means any COMCA facility used for intake, storage, cataloguing, imaging, fulfilment, or handling of items.
“Client” means any person or entity whose items are stored or processed by COMCA.
2. Warehouse Access
2.1 The Warehouse is a secure, closed facility. Public access is not permitted.
2.2 Clients may not enter the Warehouse under any circumstances unless expressly authorised in writing by COMCA.
2.3 COMCA may refuse or revoke access for safety, security, operational, or compliance reasons.
3. Intake & Handling Rules
3.1 All items must arrive with a complete manifest. Items not listed on the manifest are not accepted into inventory.
3.2 COMCA may:
- weigh, scan, photograph, or video items
- open packaging for verification
- repackage items for storage or fulfilment
3.3 COMCA’s recorded counts, images, and logs constitute prima facie evidence of intake condition and quantity unless a clear error is demonstrated within three (3) business days.
3.4 COMCA may refuse intake of:
- damaged items
- hazardous materials
- counterfeit or prohibited items
- items posing safety or operational risk
4. Storage Conditions
4.1 Items are stored in a controlled environment suitable for trading cards and collectibles.
4.2 COMCA does not guarantee:
- perfect humidity or temperature stability
- protection from inherent material degradation
- preservation of grading outcomes
4.3 Items may be stored in:
- bins
- vaults
- shelving
- fulfilment stations
- other secure storage systems
4.4 COMCA may relocate items within the Warehouse at any time for operational efficiency.
5. Security Measures
5.1 The Warehouse is protected by:
- restricted access controls
- CCTV monitoring
- alarm systems
- inventory tracking systems
- staff access logs
5.2 Security footage is retained for a reasonable period but is not guaranteed to be available indefinitely.
5.3 COMCA may provide footage only where legally required or at its discretion.
6. Prohibited Conduct
Clients must not:
- attempt to access the Warehouse
- request staff to bypass procedures
- interfere with storage systems
- submit hazardous, illegal, or counterfeit items
- behave abusively toward staff
- attempt to bribe, coerce, or influence staff handling items
7. Handling, Movement & Fulfilment
7.1 COMCA may handle, move, or repackage items as required for:
- imaging
- cataloguing
- fulfilment
- quality control
- storage optimisation
7.2 COMCA is not responsible for minor handling marks consistent with normal warehouse operations.
7.3 COMCA may consolidate or separate items for operational efficiency.
8. Loss, Damage & Evidence
8.1 COMCA’s liability is governed by the Master Terms & Conditions and the Insurance & Declared Value Policy.
8.2 Claims must include:
- manifest
- photos
- packing/unpacking video (where available)
- shipping receipt or carrier confirmation
8.3 COMCA may rely on:
- intake images
- weight logs
- CCTV footage
- internal handling records
as evidence of condition and quantity.
9. Removal, Withdrawal & Abandonment
9.1 Items may be withdrawn upon request, subject to:
- outstanding fees
- holds or investigations
- reasonable processing time
9.2 Items may be deemed abandoned if:
- your account is inactive for twelve (12) months
- you fail to respond to contact attempts
- fees remain unpaid for sixty (60) days
9.3 Abandoned items may be liquidated to recover outstanding amounts.
10. Staff Conduct & Safety
10.1 COMCA staff must follow internal safety and handling procedures.
10.2 Clients must not:
- attempt to influence staff handling
- request preferential treatment
- request deviation from standard procedures
10.3 COMCA may refuse service to clients who behave abusively or create safety risks.
11. Changes to This Policy
11.1 COMCA may update this Policy by posting a new version on the website.
11.2 Continued use of the Services constitutes acceptance of the updated Policy.
